Why Most Workdays Feel Longer Than They Should

Some days seem to whizz by in a blur of productivity. You’re in the zone, banging out reports that would otherwise take ages or clearing tickets left and right. Sadly, days that seem to be moving at a snail’s pace seem to be far more common.

Have you ever wondered why exactly that is? More importantly, how can you learn to recognize time-wasters and not let them affect your performance? Here are the culprits and the effective strategies that can be employed against them that you should know.

Different behaviors and policies that stretch the workday all share a key trait: they fragment your attention. This forces you to context shift and abandon your flow state. Inspiration evaporates, and you may even start feeling frustrated. The workload stays the same, but constantly starting and stopping or being forced into inefficiency alters your perception of it. Here are the most notorious offenders.

Frequent interruptions

Nothing kills a productive mood like a coworker who needs help with something or thinks that bothering you is a cure to their boredom. It takes time to rebuild your train of thought each time this happens, time you’ll be painfully aware of. 

Ineffective meetings

Done right, a meeting can clear up bottlenecks or miscommunication and help colleagues tackle tasks with renewed purpose. How many meetings like that did you actually ever attend, though? Meetings have the annoying tendency to go on for ages, especially if you’re just a passive listener. Worse yet, they may split the day up into unconventional chunks that throw your carefully crafted routines off balance.

Poor task prioritization

People who struggle with task optimization tend to push complicated and challenging tasks off until later. A classic mistake that’s counterproductive on so many levels. Procrastinating just prolongs the agony and makes you focus on counting the days and hours until it’s finally time to step into the muck. Moreover, once you do decide to take the beast on, the piled-up mental fatigue will likely have it take longer than intended.

A deluge of rote tasks

Updating your calendar or a spreadsheet as other tasks progress is necessary to keep things running. It’s also the kind of menial work that undermines true progress. While spending a couple of hours on it each week feels productive, they’re hours that push back more creative and meaningful work.

Digital distractions

Even when they’re purely work-related, digital distractions introduce friction. Should you check that notification? Is it worth taking the time to respond to the email that just landed? You might not be aware of it in the exact moment, but these constant micro-decisions cause the kind of mental fatigue that makes everything feel slower.

What Changes Can You Make?

While they might seem to be at the core of the white-collar working experience, none of these time-sinks are unavoidable. Here’s how you can make workdays feel more structured and manageable by addressing each one.

Set boundaries

You have an obligation to work reasonably efficiently, which means you have the right to protect your peak working times. There are lots of ways to do this without getting on colleagues’ bad sides. Most people will take the hint if you mark time for deep work on a shared calendar. Alternatively, you can set up dedicated check-in times when others are free to swing by for assistance or the latest office drama. 

Minimize meetings 

If you have the power to, organize meetings when they’re absolutely essential. Even then, only invite people they concern or benefit. Ask yourself: would this go over better as a Slack announcement? The answer is almost always yes. Plus, handling matters asynchronously lets others take the time to research and provide more thorough responses. 

Address the most challenging tasks first 

No surprises here. Prioritizing tough tasks lets you devote more time and mental capacity, resulting in quicker and better outcomes. 

Embrace automation 

While the concept isn’t new anymore, the introduction of AI agents has caused rote task automation to grow by leaps and bounds. They excel at grouping and handling similar tasks quickly and without errors. Better yet, AI agents are context-aware. That means they can provide summaries, draft pertinent responses, or alert you to patterns or issues you might not have been aware of otherwise. 

Batch notification handling 

Rather than constantly being on alert, dedicate windows within your workday to checking and resolving notifications. Just getting rid of the associated anxiety will let you focus more deeply on work that’s actually important.
